These Registration Terms & Conditions ("Terms & Conditions") govern registration for the 2027 Leadership Experience, including the Virtual Leadership Institute and all in-person programs, meetings, activities, events, and experiences in The Bahamas (collectively, the "Event"), and constitute a binding agreement between each registrant and Sigma Gamma Rho Sorority, Inc. ("SGR").


Registration


Registration is available online only. Mailed or faxed registration forms will not be accepted. Chapters are encouraged to assist senior members and individuals with limited access to technology in completing the online registration process.


Payments


All registration fees must be paid online through this registration site. Registrants selecting an installment payment plan are responsible for completing all scheduled payments by the applicable deadlines.  Failure to make scheduled installment payments may result in cancellation of registration, loss of eligibility to attend the Event, and forfeiture of all amounts previously paid. 


Hotel Accommodations


Hotel accommodations are separate from Event registration. Registrants are encouraged to reserve their accommodations using the official hotel booking information provided by SGR.


The official hotel booking information will be made available on November 1, 2026.

The exclusive group rate is available only to registered attendees and is subject to availability within the official room block.


Registrants are responsible for making, modifying, paying for, and canceling their hotel reservations directly with the host hotel and are subject to the host hotel's applicable terms, policies, and cancellation requirements.


Travel Requirements


Each registrant is solely responsible for obtaining and maintaining all required passports, visas, travel authorizations, vaccinations, travel insurance, and any other documentation necessary to travel to and from The Bahamas. Failure to obtain or maintain the required travel documentation shall not entitle the registrant to a refund, credit, or reduction in registration fees.


Refund Policy


All registration fees, installment payments, transfer fees, and any other amounts paid in connection with the Event are final, irrevocable, and non-refundable, except as required by applicable law.


Failure to board a flight, denial of entry into The Bahamas, expired passports, missing travel documents, or airline-related issues shall not constitute grounds for a refund. 


Cancellations & Transfers


Registrants may cancel their registration at any time; however, cancellation does not entitle the registrant to a refund or credit.


Registrations that are paid in full and active may be transferred to another eligible individual for a $150 transfer fee. Transfer requests must be submitted no later than June 30, 2027, using the following Transfer Request Form:https://fs20.formsite.com/8i8VIT/08ydiqkf5g/index


Only registrations that are paid in full are eligible for transfer. Registrations on an installment payment plan must be paid in full before a transfer request will be processed.


The transferee is solely responsible for reimbursing the transferor for any registration fees or other agreed-upon costs. SGR will not facilitate or participate in the exchange of funds, gifts, or other consideration between the parties.


Program Modifications


By registering for the Event, registrants acknowledge and agree that SGR reserves the right to modify, postpone, relocate, suspend, or cancel any aspect of the Event as necessary.


Except as required by applicable law, such actions shall not entitle a registrant to a refund, credit, reduction in registration fees, or other compensation.


Photography and Media Consent


By registering for and participating in the Event, each registrant grants SGR, its affiliates, partners, sponsors, and authorized representatives permission to photograph, record, livestream, or otherwise capture the registrant's name, image, likeness, voice, and appearance during the Event.


Registrants authorize SGR to use, reproduce, publish, distribute, display, and otherwise use such materials, in whole or in part, in any media now known or later developed, for organizational, educational, promotional, marketing, historical, archival, fundraising, and other lawful organizational purposes without additional notice, approval, or compensation.


Assumption of Risk and Release


Participation in the Event and related activities is voluntary. Each registrant knowingly assumes all risks associated with travel to, attendance at, and participation in the Event.


Each registrant is solely responsible for his or her own health, medications, and medical care. SGR is not responsible for providing medical treatment, emergency transportation, or health insurance coverage during the Event. 


To the fullest extent permitted by applicable law, each registrant releases and holds harmless SGR, its officers, directors, employees, volunteers, agents, affiliates, partners, sponsors, and representatives from any claims, liabilities, losses, damages, or expenses arising from or relating to participation in the Event, except where liability cannot be waived or limited under applicable law.


Accuracy of Registration Information


Each registrant represents and warrants that all information submitted during registration is true, accurate, and complete. Registrants are responsible for promptly updating any material changes. SGR reserves the right to deny, suspend, revoke, or modify participation if inaccurate, incomplete, fraudulent, or misleading information is provided.


Chargebacks and Payment Disputes


Registrants who dispute or initiate a chargeback for any payment may have their registration suspended or canceled and, if applicable, may be subject to disciplinary action under the Sorority's governing documents. Registrants may also be held responsible for any resulting costs incurred by SGR, including merchant processing fees, administrative expenses, legal fees, collection costs, and other damages associated with responding to or defending the payment dispute.


Code of Conduct

Registrants acknowledge that participation in the Event is a privilege, not a right. All attendees must comply with Sigma Gamma Rho Sorority, Inc.'s Constitution, Bylaws, Policies, Code of Conduct, directives of Event staff, hotel rules, and all applicable laws.

SGR reserves the right to deny admission to, remove, suspend, or revoke participation of any attendee whose conduct is disruptive, unsafe, unlawful, or inconsistent with the Sorority's values, without refund or compensation.

Governing Law


These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict of laws principles, except to the extent preempted by the Federal Arbitration Act.


Arbitration


Except where prohibited by applicable law, any dispute, claim, or matter arising out of or relating to these Terms & Conditions or the registration for or participation in the Event shall be resolved exclusively through final and binding arbitration administered by the American Arbitration Association in accordance with its Commercial Arbitration Rules then in effect.


The arbitration shall take place in Wake County, North Carolina, unless SGR elects to conduct the arbitration remotely or the parties mutually agree otherwise.


The arbitration shall be governed by the Federal Arbitration Act, 9 U.S.C. §§ 1–16. Judgment upon the arbitrator's award may be entered in any court having jurisdiction.


To the fullest extent permitted by applicable law, each party waives any right to a trial by jury and any right to participate in a class, collective, consolidated, or representative action.


Severability


If any provision of these Terms & Conditions is determined to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect to the fullest extent permitted by applicable law.


Reservation of Rights


SGR reserves the right to interpret, amend, supplement, or update these Terms & Conditions and other Event-related policies at any time, in its sole discretion. Any changes become effective upon posting to this registration site or through another official SGR communication. Continued participation in the Event constitutes acceptance of the then-current Terms & Conditions.
